Overview

We seek a highly experienced, motivated and enthusiastic executive assistant to join our rapidly paced team. Work both collaboratively and independently to support the company and its leaders, to maximize efficiency and effectiveness within a global organization both between internal functions and with external partners. 

 

The ideal candidate will have at least 5+ years of administrative experience with C-level and senior executives, proven organizational, administrative and interpersonal skills. Ideally have experience with Board of Directors, Investor Relations, and Business Development. Experience within Biotechnology, or another fast-paced industry is preferred but is not a requirement.  

Responsibilities

    • Provide high-level executive administrative support to multiple C-level executives
      • Proactively manage diverse calendars. Respond rapidly and professionally to a high volume of scheduling requests and changes.
      • Provide administrative assistance as requested, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex internal and external executive meetings 
      • Proactively anticipate the administrative support needs of the supported executive leadership team
      • Assist in the development and organization of support materials for meetings and conferences (e.g. presentation slides, excel files, reports, etc.)
      • Arrange and coordinate travel, accommodations, agendas, and itineraries 
      • Expense reconciliation and reporting for executives
    • Assist with various meeting/event planning including but not limited to offsites, all hands, leadership meetings (booking conference rooms, group reservations, catering, and other logistics)
    • Additional projects as assigned

     

    Other Duties 

    • Collaborate and coordinate with internal team members to create an extraordinary employee and visitor experience at Monte Rosa Therapeutics
    • Partner with Office Operations with various day-to-day responsibilities and projects
    • Partner with People Experience Operations on various employee experience projects
    • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
    • Anticipate questions and organize priorities. Proactive in all areas of work
    • Demonstrate a high degree of independence, - discretion, practical judgment, technical know-how, and focus on detail

Qualifications

  • Associate's or bachelor’s degree preferred but not necessary; 5+ years of related experience
  • Experience with Board of Directors, Investor Relations, and Business Development preferred
  • Experience within the Biotechnology, or other fast-paced industry is preferred
  • Collaborative work style; ability to work well in a team environment 
  • Proven ability to exercise discretion and good judgment
  • Strong organizational skills with great attention to detail
  • Strong multi-tasking and prioritizing skills with the ability to set and meet deadlines
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a customer service focus
  • Proactive, resourceful, with a strong work ethic
  • Technology savvy with a strong knowledge working with Microsoft Office
